Terms and Conditions
Please carefully read the following terms and conditions. In completing and confirming a booking with Tasmanian Wilderness Experiences, you agree to be bound by these conditions which form the agreement between The Adventure Factor Pty Ltd trading as Tasmanian Wilderness Experiences and you (and your group), including the assumption of risks inherent in any chosen activities, equipment and/or supplies.
Booking
Bookings are essential for all tours, transfers and other services. To confirm a booking, reservation or order, you must pay a deposit of 25% of the value of the goods and/or services. We will send you a booking receipt confirming your order, showing the balance due on your account.
Final payment for your booking, reservation or order must be paid at least ten (10) days before your tour or scheduled pickup date.
To collect hire equipment, you must pay a security deposit of $100 on the day of hire. This security deposit is fully refundable on return of the equipment in good working order (see below under hire equipment).
To secure an extra pick up trip if you are an independent walker delayed at the end of your trip by an unforeseen delay (see below under transport services) we will charge you a surcharge of 75% of the normal fare based on the minimum fare requirements of the relevant transfer service. We will ask you to provide your credit card details in advance to cover this possibility.
All transfers operate on demand with a minimum requirement of 4 fares. Groups for 3 people or less are asked to select whether they’re willing to pay the minimum fare amount (equivalent of 4 fares per transfer) to guarantee departure. If this is not selected/agreed at time of booking and a minimum number of fares has not been reached within 10 days of departure, your booking will be cancelled. Refund of the additional fare(s) will be arranged if minimum numbers are reached by other passengers booking onto the same transfer.
Bookings for tours can be made directly with us online (excluding custom tours), or you can request an invoice for a bank transfer payment. Please note, online payments incur a credit card surcharge fee.
If you do not have a valid booking but wish to use a service on the day (if available at the trailhead) you will be charged an additional administration fee of $50 inc. GST per person.
Payment
Prices quoted on the website are in Australian dollars and include GST. Payments must be made by credit card or direct deposit. Cash is not accepted. All tours must pay a deposit (as indicated above) at the time of a confirmed booking, with the remaining balance due 10 days prior to tour start date.
Transfers
Arrival & Departure Locations & Times
Transfers are to or from Hobart CBD or Launceston CBD except the Cynthia Bay to Cradle Mountain Shuttle. The Cynthia Bay to Cradle Mountain shuttle does not include transport to or from Hobart.
Departure times are subject to availability and determined based on our experience and knowledge about the trails and timings. Contact us to request a different time to those advertised.
We will travel to other destinations if our booking commitments allow. Contact us to discuss your requirements and we’ll be happy to accommodate you.
Prices, Deposits & Surcharges
Prices are as advertised. A 25% deposit is required at the time of booking. Full fare must be paid at least ten days in advance of the scheduled pickup date.
With ever-increasing fuel prices, regrettably, our fares are subject to change without notice, so please check with us for the current fare before making your travel arrangements. Some prices increase during the winter months from May to September inclusive.
Airport parking fees are not included in the above fares and are payable by our clients.
We have allowed for a brief stop en route at a public convenience on journeys greater than two hours. Any additional unscheduled stops will attract a charge of $42/hour or part thereof (including GST) waiting time to cover our driver’s wages.
Solo Travellers & Groups up to 3 People
All transfers operate on demand with a minimum requirement of 4 fares. To guarantee departure for 3 people or less an agreement to pay the additional fare(s) is required.
A refund of the additional fares will be arranged if other passengers book onto the same transfer. Failure to reach the minimum of 4 fares 10 days before a trip will result in a full refund being offered and the service cancelled if you’re not willing to pay the additional fares for the service to operate.
Groups Larger than 10 People
We offer 10% discount for groups of 10 and more passengers under a single booking.
Unforeseen Delays
We recognise that bushwalkers may experience unforeseen delays on the track and may not arrive at their end point by the prearranged time.
If there are delays, this is our standard operating procedure:
We will:
1. Arrive at the agreed pickup point at the agreed time (subject to any unforeseen delays we might also encounter enroute, for example, roadworks, accidents, etc);
2. Wait a further hour for the bushwalkers if they are not at the pickup point before returning to Hobart/Launceston without them;
3. Leave a message at the Walkers’ Registration Point advising of our expected return time the next day;
4. Return the following day as soon as possible after fulfilling prior booking commitments – this return trip will be invoiced at 75% of the normal fare based on the minimum fare requirements of the relevant transfer service.
5. Contact emergency services on the bushwalkers’ behalf if the bushwalkers have still failed to arrive at the pickup point and there is no apparent reason for their delay. Before departure. bushwalkers should provide us with a Trip Intention Form to assist emergency services.
Guided Tours

Multi-day Tours – max 10
Each single day tour is accompanied by one guide. Each multi-day tour is accompanied by at least two guides, however, if you are an independent walking group only needing the services of an Eco-interpreter, one guide may accompany you.
Our guided tours include:
· free transfer from and to Hobart Airport or City
· tasty and nutritious food for the track prepared by our guides
· professional guidance and leadership from our friendly and knowledgeable guides
Cancellations, changes & refunds
If you wish to change your booking, please notify Tasmanian Wilderness Experiences in writing to info@twe.travel. Changes are not guaranteed and may incur additional charges. Tasmanian Wilderness Experiences will notify you within 48 hours of your request to change your booking can be made, and if there are any additional charges.
We understand that walks don’t always go according to plan, and we will do our best to adapt to earlier or later departures. All services run on a Minimum Four Fare Charge, so when making changes within 7 days, extra charges may apply. Any additional charges due to the Minimum Four Fare Charge (up to 3 fares) will be charged to the passenger moving from the service it’s now affecting. For example, if a Minimum Four Fare Charge needs to be applied to a service passengers are now moving from, this charge is worn by the passengers making the move and causing the disruption.
Cancellations are subject to the following fees and conditions:
Cancellations outside 30 days, full refund.
Between 30 to 7 days of a confirmed tour will forfeit 25% of the tour/transfer cost.
7 days or less: no refund will be provided.
Please note all booking and card fees are non-refundable.
A failure to turn up at the pre-arranged time or place for your tour/trip will forfeit any and all monies paid to Tasmanian Wilderness Experiences.
Failure to pay for your tour/transfer by the due dates will be construed as a cancellation and will apply the above fees and conditions.
If we make an extra pickup trip without passengers (see ‘Unforeseen Delays’), we will charge bushwalkers a surcharge of 75% of the minimum fare for the trip. We will ask you to provide your credit card details in advance to cover this possibility.
Cancellation by Tasmanian Wilderness Experiences
If Tasmanian Wilderness Experiences has reason to cancel your booking, you will receive a full refund on the tour/transfer price paid to date.
Sometimes we must cancel a scheduled tour booking because of conditions beyond our control (severe weather, impassable roads, bushfires). We reserve the right to cancel a booking without notice, and if we can’t find an alternative tour or booking to suit you, we will promptly refund your payment in full. We will not be responsible for any consequential losses arising from a cancellation.
Travel Insurance
Personal travel insurance is not included in the price of the tour. It is a condition of booking with Tasmanian Wilderness Experiences that you are adequately insured in respect of illness, injury, death, loss of baggage and personal items, damage to baggage and personal items and cancellation or curtailment. It is your responsibility to make such insurance arrangements. (Australian residents, please note requirements for state by state ambulance cover and ensure you have appropriate cover in place).
Luggage / Personal Equipment
Tasmanian Wilderness Experiences does allow for the carriage of luggage and associated hiking equipment. Tasmanian Wilderness Experiences may refuse carriage of any equipment, if in its opinion the luggage is:
unsafe;
a hazardous substance or dangerous good;
likely to be damaged during travel;
likely to cause damage to our vehicle; or
likely to cause damage to other passengers’ luggage or any other property.
In the event luggage is refused travel by Tasmanian Wilderness Experiences, the passenger holds sole responsibility for any and all costs of alternate travel for their luggage. All luggage, including carry-on luggage, is the sole responsibility of the passenger. Tasmanian Wilderness Experiences accepts no responsibility and will not be liable for any damage to, theft or loss of any passenger luggage whilst using our service, including when on board a vehicle. Personal travel insurance is not included, and adequate travel insurance is recommended prior to travel.
Route Changes
Tasmanian Wilderness Experiences reserves the right to modify any aspect of the tour, or postpone, cancel or delay any such aspect of the service if in the absolute discretion of the driver, if it is necessary to do so due to inclement weather, snow or icy conditions or conditions that are otherwise likely to be hazardous or dangerous or due to any other adverse or threatening conditions which may affect the safety of participants. Tasmanian Wilderness Experiences reserves, in its absolute discretion, the right to cancel or postpone any tour due to any government or emergency services agency warning or advice, or any change in such warning or advice.
In the event of any change, modification, cancellation postponement or delay under this condition, you acknowledge that you will have no right of refund of the tour price (whether in whole or in part) and no right to claim compensation for any injury, loss or damage or other additional expenses incurred by virtue of the change, modification, cancellation postponement or delay. Travel insurance may compensate you depending on the circumstances.
Force Majeure
If Tasmanian Wilderness Experiences is prevented (directly or indirectly) from performing any of its obligations under this agreement by reason of act of God, strikes, trade disputes, fire, breakdowns, interruption of transport, government or political action, acts of terrorism, acts or omissions of a third party or any other cause whatsoever outside ofTasmanian Wilderness Experiences’ reasonable control, Tasmanian Wilderness Experiences will be under no liability to you and may, at its option, by written notice, either cancel the tour or arrange alternative tour arrangements.
Assumption of Risk and Safety Declaration
Prior to undertaking any tour activities with Tasmanian Wilderness Experiences, participants must sign a waiver and release of liability. A copy will be provided to all participants prior to tour commencing.
By its nature hiking in remote areas can be challenging and demanding with a commensurately high level of risk, and involve potential exposure to injury and possibly death. You are solely responsible for your own judgement to participate within your capabilities and you are solely responsible for your health and wellbeing.
You declare and acknowledge:
The additional dangers and risk associated with adventure travel may include difficult and dangerous terrain, extreme weather, including sudden and unexpected changes, remoteness from normal medical services and from communications and evacuation difficulties in the event of illness or injury.
You do not have any fitness, medical or physical conditions that would affect your participation in the activity. You authorise Tasmanian Wilderness Experiences to arrange medical or hospital treatment as necessary and you agree to pay for all associated costs.
Tasmanian Wilderness Experiences reserves the right to withdraw any person who in their opinion is likely to endanger themselves or others. Tasmanian Wilderness Experiences also reserves the right to cancel any activity if they become concerned for any reason for your safety or that of any other person.
You must follow Tasmanian Wilderness Experiences’ instructions and use any safety equipment provided at all times. For the above reason you accept the inherent and increased dangers and risks associated with the proposed adventure and the accompanying risk of injury, death or property damage or loss.
Tasmanian Wilderness Experiences reserves the right to refuse travel or remove passengers from the vehicle, regardless of whether the passenger holds a valid ticket, where the passenger:
Behaves in a disruptive, threatening or unlawful manner and may pose a threat to themselves, other passengers, staff or property; or
is observed smoking, consuming alcohol or taking illicit drugs or attempting to smoke, consume alcohol or take illicit drugs on board.
In the event travel is refused or a passenger is removed from the vehicle, Tasmanian Wilderness Experiences take no responsibility for inconvenience due to refusal of service, or for any additional cost or expense that may be incurred by you as a result of the refusal of service. Tasmanian Wilderness Experiences will not provide a refund for the cost of the booking in this tour.
Unaccompanied Minor Policy
Children under the age of 18 years are not permitted to travel unaccompanied on tours conducted by Tasmanian Wilderness Experiences. All children under the age of 18 must be accompanied by an adult over the age of 18. Proof of age for the accompanied person may be requested and must be shown prior to the service being provided. If no identification is provided, travel may be refused for both passengers. Any costs incurred due to the refusal of service will be incurred by the customer. Tasmanian Wilderness Experiences does not assume any liability for these costs.
The person accompanying the child under the age of 18 years old must accept full responsibility for the child during the journey.
Passengers travelling with medical condition(s)
For passengers who have a medical condition it is recommended that you consult with your local GP/Doctor prior to undertaking tours. Please inform Tasmanian Wilderness Experiences through the online waiver of any allergies, medical requirements and medications. In the event that a passenger becomes ill during their journey the appropriate emergency services will be contacted and the continuation of travel will be determined by the emergency services personnel.
Unclaimed Luggage
In the event a passenger leaves an item of luggage on an Tasmanian Wilderness Experiences vehicle:
Tasmanian Wilderness Experiences will make all reasonable efforts to identify the owner of the luggage and notify them of the unclaimed luggage. Collection of the luggage will be the sole responsibility of the passenger.
Any freight fees incurred in transporting the luggage to an alternate location will be borne solely by the passenger. Tasmanian Wilderness Experiences will store the item as lost property for a period of 30 days unless the interested parts and Tasmanian Wilderness Experiences make arrangements for longer storage times. Should the item remain unclaimed at the expiry of that storage period, the item will be disposed of at Tasmanian Wilderness Experiences’s sole discretion.
Tasmanian Wilderness Experiences will not be liable for any loss, expense or inconvenience incurred by the passenger.
Digital Representations
Tasmanian Wilderness Experiences reserves the right to take and collect digital representations of our services and use these for advertising and public media activities. By accepting these terms and conditions, you accept that your image may, from time to time, be in the social media or associated websites or other media outlets. Tasmanian Wilderness Experiences will not link these representations to your personal details without your consent.
Drug and Alcohol Policy
Illicit drugs are illegal in Tasmania and Australia at all times. Their use and consumption is forbidden during any and all activities conducted by Tasmanian Wilderness Experiences.
Where Tasmanian Wilderness Experiences has reasonable suspicion that participant(s) are under the influence of illicit drugs they have the right and responsibility to remove the participant(s) from the tour and inform the relevant authorities. In this situation Tasmanian Wilderness Experiences will bear no cost related to this situation. You acknowledge that you will have no right of refund of the tour price (whether in whole or in part) and no right to claim compensation for any injury, loss or damage or other additional expenses incurred.
Bag Storage Policy
We can provide secure storage of bags for Tasmanian Wilderness Experience clients whilst you enjoy your walk in the wilderness. We do ask that each bag is clearly labelled as per this policy.
Cost
$20.00 per bag for the duration of your walk: Small and medium back packs (under 8kg)
$50.00 per bag for the duration of your walk: Larger bags and suitcases (over 8kg)
Bag labelling procedure
If you leave any bags with us for collection, please clearly label all bags with your group leader’s name or booking name, mobile number, where we meet you with them (including the date to be returned) and the bag numbers (e.g. 1/5, 2/5, 3/5 etc).

Incorrectly labelled bags
If you fail to label your bags pre trip and our drivers are left with the responsibility, you will attract a $5.00 fee per bag, along with any cost rendered to return bags to you (freight or transport costs).
Par Avion Customers
We will also happily collect bags from Par Avion, however you MUST email us to tell us once the bag is at Par Avion for ready collection. Failure to do so may result in your bags not being collected, in this instance no refunds for bag storage will be given and rides back to Hobart (from Par Avion) will be changed if requested.
Hiking Products for Sale
Our conditions of supply are:
you must satisfy yourself that a sundry item you purchase is suitable for its intended use (which is outside our control).
we supply sundry items in good faith, but make no warranties about their condition or suitability, and we will not be responsible for any consequential losses arising from their use.

If given sufficient warning we can arrange to supply bushwalkers and independent travellers with any readily available equipment or supplies they may need or have overlooked in their planning.
